Accounts & Finance Administrator (Part Time)

About the Role

Genie Insights is seeking a part-time Accounts & Finance Administrator with experience in a commercial environment to support and take ownership of key aspects of the day-to-day financial administration of the business. Working closely with the company directors, you will play a key role in maintaining accurate financial records, processing transactions, and ensuring the smooth and compliant running of the finance function. This is a varied and hands-on role that requires strong attention to detail, organisation, and a proactive, solutions-focused mindset.

This role would suit someone who enjoys variety, takes pride in accuracy, and is comfortable working with a high degree of autonomy.  As part of a small team, you will have real visibility of the business and the opportunity to contribute beyond a typical accounts administration role.  This is a newly created role at Genie Insights and, as a rapidly growing company, offers opportunities for the role to grow and evolve.

The position offers genuine flexibility in working hours and a hybrid working arrangement, allowing you to balance work around your life. We expect the role to be 20 hours per week, but this could be increased for the right candidate.

What You’ll Be Doing

Accounts Payable

  • Checking, coding and processing purchase invoices
  • Reconciling supplier statements and resolving discrepancies
  • Managing supplier payments
  • Processing supplier account opening forms

Accounts Receivable & Credit Control

  • Raising and issuing customer invoices
  • Monitoring customer accounts and supporting cash flow management
  • Conducting credit checks and managing credit limits
  • Monitoring and chasing overdue payments (escalating where required)
  • Resolving supplier and customer account queries

General Ledger & Administration

  • Posting transactions and receipts in accounting software
  • Performing regular bank reconciliations
  • Allocating costs to contracts
  • Processing customer account opening forms

 Compliance & Financial Administration

  •  Preparing quarterly EC Sales Lists
  • Assisting with month-end close processes
  • Supporting VAT quarter-end processes
  • Managing warranty provisions and rebate tracking
  • Maintaining accurate and compliant financial records

Reporting & KPIs

  •  Preparing weekly installation and customer reports
  • Supporting contract cost tracking and profitability analysis

Finance Operations & Administration

  •  Assisting with payroll processing and pension payments
  • Managing petty cash and employee expenses
  • Handling currency transactions and transfers
  • Processing external funding claims

 Systems & Data Management

  •  Setting up new customers on internal systems
  • Maintaining high standards of record-keeping

 

Quality, Compliance & Continuous Improvement

  •  Adhering to ISO9001 procedures
  • Participating in continuous improvement initiatives

 

General Responsibilities

  •  Upholding company values
  • Undertaking any other reasonable duties as required

Who We’re Looking For

  • Demonstrable experience in an accounts or finance administration role within a commercial environment (typically 3+ years)
  • Strong numerical and analytical skills
  • High level of accuracy and attention to detail
  • Good level of general IT literacy, including proficiency in the use of Microsoft Excel and other Microsoft Office applications
  • Possess working knowledge of computerised accounting systems and spreadsheets, ideally QuickBooks accounting software
  • Strong organisational and time management skills
  • Ability to manage projects independently, take initiative, and meet deadlines
  • Strong communication and teamwork skills
  • Self-motivated, solutions-focused, and well-organised

Desirable Skills & Experience:

  • AAT Level 3 or above
  • Experience in manufacturing, automotive or related sectors
  • Knowledge of VAT and basic accounting principles
  • Ability to produce management accounts
  • Ability to produce budgets

  • Competitive salary: £28,000 – £34,000 FTE (pro rata based on agreed part-time hours, with the upper end reflecting higher levels of experience)
